Purchasing Aide – Purchasing and Vendor Relations

The Purchasing Aide will assist the Purchasing department in the daily operations of the department by completing a variety of projects and tasks as assigned. Contact: Kym Coogan kcoogan@salemstate.edu to apply.

Duties and Responsibilities

  • Assist the VP, Assistant Director and Purchasing Staff in bringing projects to implementation stage. Projects include: preparing information for the auditors, spreadsheets, correspondence with vendors, meeting with managers.etc.
  • Assist with contracts review, working with legal counsel, red-lining contracts, send contracts to vendors with correspondence. Keep track of contracts coming back to the university signed.
  • Perform administrative tasks such as filing, copying, mailing, collating, scanning, setting up meetings, taking minutes at meetings.
  • Post RFPs to State website. Post addendums to RFP's to State website. Analyzing RFP's and present information.
  • Responsible for reports including procurement cards and ridership reports.
  • Processing new procard applications, creating accounting codes in Paymentnet4, hard coding vendors in Paymentnet4, canceling procards, increasing spending lmits in Paymentnet4.
  • Running advanced queries in Paymentnet4 and PeopleSoft,
  • Entering data for the vendor file and purchasing module in PS.
  • Work in the Amazon, Dupli, Staples, Grainger and Home Depot SSU web sites.
  • Scan documents in OnBase.

Minimum Qualifications

  • MBA or BSBA candidate with major in ODS at SSU with experience working in business and specifically a business office preferred.
  • Strong writing and communication skills, advanced Microsoft Office skills, interact in a professional manner with staff, management, vendors, etc.
  • Purchasing experience a plus. Ability to work 20 hours per week.
