Operations Office Aide – Enrollment Management Operations

We are looking for new student employees to join the back office team that supports Admissions and Financial Aid. The Operations Office Aide will gain professional experience using Microsoft Excel, document imaging software, and Salesforce CRM. Team members process applications for admission and school transcripts, update student data, and mail out acceptance letters and financial aid awards. This is a desk job in a busy office, so good teamwork and attention to detail are a must. Students choose their own schedule and the office is open on weekdays from 8:30 am and 5:00 pm.

Duties and Responsibilities

  • Manage scanning and indexing queue which may require researching the various systems to match records
  • Import and Export of data points via:
    • PeopleSoft, the University’s student administration database system
    • OnBase, the University’s electronic content management system
    • Salesforce, the University’s prospect and online application system
  • Conduct application quality assurance runs by investigating and locating orphaned documents
  • Monitor admissions operations email account and reply or triage the emails as appropriate
  • Package and mail materials to prospective students to notify applicants of the status of their decision
  • Resolve applicant problems by clarifying the complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution
  • Contribute to team effort by accomplishing related results as needed
  • May work on other projects as assigned

Minimum Qualifications

Operations employees must have working knowledge and comfort in using computer systems; must be able to take direction; must be able to work independently in a fast-paced environment. Must be courteous both in verbal and written communication, maintaining a professional work environment. A sense of humor is a plus.
